Terms & Conditions

Terms governing the use of our translation services.

Last updated: 21 September 2026

These Terms and Conditions (“Terms”) govern translation services provided under the Legal Aid Translation Services brand through legalaidtranslationservices.co.uk. By confirming an order or quotation, you agree to the terms applicable to that instruction.

1. Services

We provide document translation and certified translation services for legal professionals. Depending on the instruction, services may include:

• Translation for legally aided matters at the rate stated in the quotation

• Certified translation with an appropriate certification statement

• Notarisation or legalisation where specifically quoted and agreed

The exact scope, language pair, certification requirements and deliverables are confirmed for each instruction.

2. Placing an Order

Orders may be placed through our website order form or by email. By placing an order, you confirm that:

• You are authorised to instruct the requested service

• The documents and information supplied are complete to the best of your knowledge

• You have the necessary authority to share personal data contained in the material

• You accept the quoted price, service scope and confirmed delivery timeframe

3. Pricing and Payment

Prices are based on the agreed scope and may take account of source word count, language pair, document complexity, certification requirements and deadline. For legally aided matters, applicable funding, remuneration and prior-authority requirements depend on the individual case and the relevant Legal Aid Agency rules and guidance. Our current published translation-rate guidance is available on the Legal Aid Rates page.

Payment terms, VAT treatment and any agreed credit arrangements are stated in the quotation, order confirmation or invoice.

Any arrangement linked to legal-aid billing or assessment must be agreed before work begins. Responsibility for checking recoverability, funding limits and prior authority remains with the instructing provider.

4. Delivery

A delivery timeframe is confirmed after the source material and requirements have been reviewed. Turnaround depends on factors including language pair, document length, complexity, source quality, certification requirements and linguist availability.

Translations are normally delivered electronically in the agreed format. Printed copies can be arranged where requested. We are not responsible for delays caused by incomplete, illegible or late source material, changes to scope, or factors outside our reasonable control.

5. Quality and Accuracy

Linguists are selected according to the language pair, subject matter and service requirements. Quality checks and certification steps are completed according to the agreed scope. Where a receiving authority has specific certification requirements, these should be provided before the order is confirmed.

If you identify a potential translation error, please notify us promptly with the relevant source and translated passage so it can be reviewed. Genuine errors identified through that review will be corrected where appropriate.

6. Confidentiality

Client material is handled confidentially and shared only where necessary to provide the agreed service or where disclosure is required by law. Relevant personnel and service providers are required to handle client material in accordance with applicable confidentiality requirements. Further information is available in our Privacy Policy.

7. Intellectual Property and Client Material

Rights in source and translated material are subject to the instruction, applicable law and any third-party rights. We do not publish client documents or use client material as public samples without permission. Internal quality review is carried out subject to the confidentiality requirements applicable to the instruction.

8. Limitation of Liability

Nothing in these Terms excludes or limits liability where it would be unlawful to do so. Any other limitation applicable to an instruction will be subject to the terms confirmed with the client and applicable law.

Clients remain responsible for checking that the requested service and certification format meet the requirements of the receiving court, authority or organisation.

9. Cancellation and Changes

If an order is cancelled or its scope changes after work has started, charges may apply for work already completed or committed. Any applicable amount will be explained with reference to the work undertaken and the agreed quotation.

10. Governing Law

These Terms are governed by the laws of England and Wales, subject to any mandatory legal rights or rules that apply.
